Project Coordinator

The Project Coordinator supports Mood Media's digital signage creative team by managing the day-to-day workflow of client projects to ensure a high level of quality and efficient execution.

Primary Responsibilities:

  • Work with Creative Director to coordinate and manage projects for Mood Media's digital signage creative team
  • Serves as main point of contact for clients (both internal and external) and gatekeeper for all creative project requests entering the department
  • Set project schedules and prioritization to meet client deadlines and maximize creative team resources
  • Gather initial project requirements and relevant digital assets (images, video clips, copy, etc) and complete creative briefs for all projects
  • Enter projects into project management system and manage the project workflow from beginning to final delivery
  • Maintain proactive communication with clients and creative team to ensure all deliverables, approvals and deadlines are determined and met
  • Upload and schedule completed client content in Mood Media's digital signage content management system
  • Track time spent on each project and complete monthly invoicing process
  • Provide input on process improvement opportunities that could improve workflow efficiencies
  • Prepare quarterly reporting for Mood Media's entertainment content partners

Skills and Qualifications:

  • Bachelor's degree from an accredited university
  • 1-3 years marketing, creative or ad agency project coordination experience
  • Detail oriented and very organized
  • Ability to work independently and balance multiple projects simultaneously in a collaborative fast-paced, deadline-driven team environment
  • Proficiency in Microsoft Office
  • Experience with Adobe Creative Suite and Trello project management software a plus
  • Effective interpersonal, written and verbal communication skills
  • Ability to identify and solve problems independently
